How do I handle late clients without ruining my schedule?

Updated October 2026 · How we answer

Short answerSet a clear late policy, communicate it upfront, and decide in advance how long you'll wait. For example, if a client is more than 10 minutes late, you may need to shorten or reschedule their appointment to stay on track.

Set a clear late policy

A written late policy protects your schedule and sets expectations. Decide how many minutes you'll wait (common ranges are 10–15 minutes) and what happens after that: the appointment may be shortened, moved to a later slot, or treated as a no-show with a fee.

Share the policy when clients book, in your confirmation messages, and on your website. Consistency matters: apply the same rule to everyone so no one feels singled out.

  • State the grace period (e.g., 10 minutes).
  • Explain what happens if they're later than that.
  • Mention any late or no-show fees.
  • Include the policy in booking confirmations.

Communicate in the moment

When a client arrives late, greet them calmly and briefly restate the policy. If you can still deliver the service in the remaining time, do so. If not, offer to reschedule for a later date or a shorter version of the appointment.

If you have other clients waiting, don't keep them waiting because of one late arrival. Politely explain that you need to stay on schedule and offer alternatives.

Protect your schedule

Build small buffers between appointments (5–10 minutes) to absorb minor delays. If a client is chronically late, consider scheduling them at the end of the day or requiring a deposit to discourage tardiness.

Track patterns: if a particular client is often late, address it directly. You might say, "I've noticed you've been running late; to make sure we have enough time, can we aim for a few minutes earlier?"

Common mistakes

  • Waiting indefinitely for a late client and throwing off the rest of your day.
  • Not having a written policy, which makes it awkward to enforce consistently.
  • Punishing all clients for one person's lateness by cutting every appointment short.
