Why do my clients keep forgetting appointments even after I send reminders?

Check the timing and channel

A reminder sent a week ahead is easy to forget, while one sent the morning of may come too late to rearrange plans. Many people respond best to a message a day or two before, plus a short one the day before. Also check whether reminders go by text, email, or both, since some clients rarely open email.

Next, confirm that phone numbers and emails in your system are current. A reminder sent to an old number looks successful on your end but never reaches the client.

Send one reminder 48 hours ahead and one 24 hours ahead. Use text for most clients unless they ask otherwise. Include the date, time, address, and how to cancel. Review bounced messages each week.

Make the message easy to act on

A reminder that only says see you Tuesday asks the client to do nothing. Add a line asking them to reply to confirm, or include a link to reschedule. Confirmations give you a clear yes or no before the appointment, which makes it easier to fill an open slot if someone drops out.

If a client keeps forgetting, a personal call or a required deposit may work better than another automated message. Keep notes on who needs a little extra help so you can plan for it.

Common mistakes

  • Sending the same reminder at the same time every visit, which clients start to tune out.
  • Leaving out a way to cancel, so clients simply skip the appointment.
